Review reply templates for every star rating (that don't sound like templates)

Reply frameworks for 1 to 5 star reviews with examples you can adapt in a minute, plus the small edits that stop a template from sounding like one.

Here is the problem with review reply templates. Customers can spot them. In BrightLocal's 2026 survey, half of consumers said generic or templated replies put them off.

Here is the other problem. Without some kind of template, busy owners do not reply at all.

The answer is a framework, not a script. Each one below has a shape you can follow and an example. The trick is the one specific detail you add every time. That detail is what makes it sound like you.

The one rule for every reply

Mention one thing from the review that only that reviewer said. A dish. A name. The day. The problem. One detail tells every future reader that a person read this.

5-star reviews

Shape: thanks, the specific detail, one line about what is next.

Thanks so much, Priya. Glad the almond croissant lived up to the queue. We are doing a pistachio version on Saturdays from next month, so come and try it.

Keep it short. Long replies to five-star reviews read like marketing.

4-star reviews

Four stars often hide one small complaint. Find it and answer it.

Shape: thanks, the detail they liked, acknowledge the small issue, what you are doing.

Thanks, Sam. Happy you enjoyed the lamb. You are right that the music was loud on Friday, and we have turned it down after 8pm since. Hope to see you again.

This is the reply most businesses skip, and it is often the most persuasive one on the page.

3-star reviews

Three stars means "it was fine, but". The "but" is the point.

Shape: thanks for the honesty, name the problem plainly, what changed or what you will do, invitation.

Thanks for the honest review, Alex. A 40-minute wait for a table you booked is not good enough, and we are sorry. We have changed how we stagger bookings on weekends. If you give us another try, ask for me and I will make sure it goes better.

2-star reviews

Shape: apology for the specific thing, a brief fact if useful, an offer to put it right offline.

Sorry, Jordan. A cracked tile on day two is not the finish you paid for. I have checked your job and our team can come back this week. Please call me directly on the office number, and ask for Dan.

Do not argue in public. Do not list every reason it was not your fault. Readers judge your reply, not the original complaint.

1-star reviews

These need the most care and the least words.

Shape: calm acknowledgement, take ownership of what is yours, move it offline, sign with a real name.

We are sorry your visit went this way, Chris. This is not the experience we want for anyone. I would like to understand what happened and put it right. Please email me at the address on our website. Mia, owner.

If you believe the review breaks the platform's rules, for example it is about a different business or it is clearly fake, report it through the platform and reply anyway, calmly. Our guide on spotting and removing fake reviews covers that.

Reviews with no text

Star-only reviews still deserve a line.

Thanks for the five stars, Lee. Appreciated.

Thanks for rating us, Morgan. If there is anything we could have done better, we would love to hear it.

If you run a clinic, a practice or any service where privacy rules apply, never confirm that the reviewer is a patient or client, and never mention their treatment or case. Keep it general. We explain how in reputation management for doctors and dentists.

Five edits that kill the template feel

  1. Change the first word. Not every reply starts with "Thank you for your review".
  2. Use their name if it looks like a real first name.
  3. Add the detail. Every time.
  4. Vary the length. A one-liner here, three sentences there.
  5. Sign it. A real first name beats "The Management".

How fast?

Speed matters too. In BrightLocal's 2026 survey, 19% of consumers expected a reply the same day, up from 6% the year before. We dig into what that means in how fast should you reply to reviews.

Where Reputfy helps

Reputfy's Response Hub drafts replies in your own voice and tone, with the specific detail from each review already pulled out. You read, adjust and post. You can choose warm, professional, apologetic or brief, and for clinics there is a privacy mode that never implies someone was a patient. It gets you to a good first draft in seconds. The human part, the edit and the signature, stays with you.
